Privacy Policy

Emergency Response and Global Security Solutions, LLC (ERGSS) Effective October 27, 2026

This policy explains how ERGSS collects, uses and protects personal information on ergss.com and in the ERGSS Duty of Care services, including the ERGSS Field app, the Operations Center and ERGSS safety text messages and calls.

Information we collect

Contact details. Name, mobile number, email address, role, and an emergency contact you or your organization provide.

Trip and assignment details. The trip or project you are on, dates, destination, lodging and places you choose to save.

Location. Your phone's position when you check in, save or share a place, or request help. From the moment you press SOS or Help until the watch officer closes the call, the app sends your position periodically so you can be found.

Messages and voice. Messages and voice messages you exchange with the ERGSS watch officer. If you turn on emergency audio, audio clips recorded after you press SOS. Nothing is recorded unless you press SOS, and you can turn emergency audio off at any time.

Safety records. Check-ins, alerts, acknowledgments of your pre-trip brief and terms, and the time you last opened the app and on what type of device.

Website contacts. Information you send us through ergss.com or by email.

How we use it

To monitor your safety while you travel, send you safety alerts, check-in requests and your pre-trip brief, locate and reach you in an emergency, coordinate help, and report on the trip to the organization responsible for you. We do not use this information for advertising.

Who we share it with

Your organization and the trip leaders or supervisors it designates. ERGSS watch officers who monitor your trip. Emergency services and authorities when needed to protect life or safety. Service providers that run the service for us under contract, including Microsoft (hosting and email) and Twilio (text messages and calls). As required by law.

We do not sell personal information.

Text messages (SMS)

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Mobile information is not shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties. How long we keep it

Emergency audio clips and voice messages are deleted automatically after 30 days. Other safety records are kept for the length of the program and as required by our agreement with your organization, then deleted or de-identified.

Security

Information is encrypted in transit and stored on secured, access-controlled systems. Access is limited to people who need it for your safety.

Your choices

You can turn emergency audio on or off in the app under My info, reply STOP to texts, and ask us to access, correct or delete your information by writing to info@ergss.com. Some records may be kept where the law or your organization's safety obligations require it.

Children

ERGSS services are intended for adults and for programs run by schools and organizations that are responsible for their participants. We do not knowingly collect information from children under 13.

Changes

We will post any changes on this page with a new effective date.
